| HEARTLAND POLISH ANNUAL MEETING MINUTES 9-13-08 Heartland Polish held it's annual meeting Saturday September 13, 2008. Due to being the host club secretary and also the show secretary Pat Glenn as President turned the meeting over to be run by our Vice President Carolynn Shaffer. In attendance: President Pat Glenn, Vice President Carolynn Shaffer, Secretary/Treasurer Bobby George, Director Carol George & Youth Director Jon George. Director Kim Shaffer was excused (Family Illness [Mother]). Families in Attendance: Glenn, George, Shaffer, Campbell, Gustafson, Claar & Baird. Vice President Carolynn Shaffer called the meeting to order at 3:27pm. The Financial status of the club was discussed by Secretary Treasurer Bobby George. (actual numbers added after meeting) The Club Currently has (August 08 EOM) $2,000.32 in savings $690.71 in checking. Secretary did note we had $145 for seasonal awards still out as well as $225 in show software which would leave us with $320.71. Also noted was that everything was paid for the next 4 specialties EXCEPT awards. Website Updates discussed. Webmaster Bobby George stated that he removed a glitch that turned out to be uploading several months newsletters to his updating the website. With the glitch removed, updating is again simple, easy and will be often, including up to the minute sweepstakes info. Elections discussed. All Spots on the board are available, It was reminded to the membership that Youth Director Jon George will not be eligible for a 2nd term do to his turning 19 prior to the end of the next term. We are interested in seeing a youth stepping up to be a part of Service to their club. It was also reminded that a WRITTEN intention to run is required. An email or a letter to the Secretary along with a ONE year eligibility requirement in the club is Neccesary. Specialties discussed. Next 4 specialties paid for except for awards. They are: Goshen Indiana 11-15 (Saturday) Rochester Indiana 12-31 (Wednesday) Goshen Indiana 3-21 (Saturday) Lafayette Indiana 4-4 (Saturday) Polish Nationals Discussed. Not a lot of interest was expressed, We will discuss in another future meeting. Club Ware Items Discussed. A committee was formed with Carol George being the Chairperson. Bobby George and Debbie Campbell were added as members. Goal is to get Heartland Polish club wear/ware to promote the club. Current sweepstakes season's tallies were reported and then the awards for the 2007-2008 Sweepstakes season were handed out. The award winners were: Jan Gustafson made the motion to adjourn, seconded by Dean Campbell, motion was approved unanimously.
