HEARTLAND POLISH ANNUAL MEETING MINUTES 9-19-09
Heartland Polish held it's annual meeting Saturday September 19, 2009.

In attendance: President Pat Glenn, Vice President Dean Campbell, Secretary/Treasurer Bobby
George, Director Carol George & Youth Director Tanner Baird. Absent was Director Bobbi Brown.

Families in Attendance: Glenn, George, Campbell, Baird, Kilander, Birky & Lowe.

  • President Pat Glenn called the meeting to order at 3:57pm. Motion was made to accept 2008
    Minutes as published. Motion Keith Rockwood, 2nd Leon Kilander. (Note Minutes are
    viewable on the clubs website at www.heartlandpolish.com.)

  • Motion was made to accept the financial status as published in the monthly newsletter.
    Motion Keith Rockwood, 2nd Leon Kilander.

  • Webmaster/Newsletter editor Bobby George explained how the troubles we had previously
    had about updating the newsletter/webpages had been solved, except for the show received
    in the last 24 hours the website and the sweepstakes points were up to the minute. Show will
    be processed as soon as the South Bend specialty paperwork has been completed.

  • Upcoming specialties were discussed and the California members were acknowledged for all
    their hard work for the HPRC out in California. The board noted when they decide to send in
    the charter for the Golden West Polish Rabbit Club, HPRC will provide a donation of the
    charter fee amount for all the work and raffles these members went through for the great
    little Polish rabbit and supporting Heartland Polish Rabbit Club.

  • Clubware committee discussed that the request for comments had little to no responses,
    Their goal is Heartland shirts or sweats, and shirts for the 2011 Lafayette Polish National.

  • 2011 Nationals were discussed and Debra Baird gave a great report on the banquet facilities
    and options to be looked into. Debra and husband Nickie mentioned a restaurant across
    from the fairgrounds that would be willing to go above and beyond to cater us the meals. A
    posibility of renting the kitchen area of the fairgrounds is also a possible option. It was
    decided we would keep working on this and really step it up after the Colorado National in
    2010. There is a wonderful restauraunt that we are looking at that is more than willing to
    cater or open for later hours whatever we decide as the time nears.

  • President Glenn brought up having a HPRC Hall of Fame, this brought on a lively discussion
    and was tabled at this time until more info and requirements could be shared.

AND show secretary. Dean Campbell fills in as President from this point forward***

  • Cooping at 2011 Nationals was discussed, with the size of the showroom most members
    would probably just carrying case their rabbits.

  • HPRC Raffle basket for youth scholorship fund was discussed, this was decided to be a board
    project to gather area university wear and other things to go along with the basket
    purchased by HPRC. Keith Rockwood offered to transport the basket for the club.

  • EMAIL voting was discussed, the idea was NOT for election purposes but for general opinion
    gathering and member approval. tabled for more information to be obtained.

  • Matching entries to host clubs fees at specialties were discussed, membership voted to
    maintain the current fees instead of matching host club.

  • The question was asked if a member expires are they still eligible for their earned award.
    Membership voted yes.

  • Membership voted that youth showing in OPEN shows will earn OPEN points even if no youth
    show is available (question regarded FAIR shows mainly).

2008-2009 HPRC Seasonal awards were handed out to members in attendance.

& Kasey Baird; 5) Kelsey Brown (OH).

OPEN: 1) Pat Glenn (IN); 2) Bobby & Carol George (IN) 3) Adam McCabe (WI) 4) Carolynn Shaffer
(IN); 5) Becky Skirvin (IN).

Tiffany's award was given to Keith Rockwood as he was planning on seeing her at a show, Keith also
is transporting Kasey Peterson's to California, Bobby & Carol George have Kelsey Brown's, Becky
Skirvin's and Carolynn Shaffer's.

Motion to Adjourn by Keith Rockwood, Seconded by Mitch Campbell.
Meeting adjourned at 5:10pm.
